Term & Conditions

1. MEMBERSHIP:
The membership of the Society is open to any person or persons who has
attained the age of majority and fulfills the terms and conditions of the Society but
subject to the approval of the Governing body of the society.
Note: – If the Governing body of the society does not approve the membership,
the reason of refusal to shall be communicated to the person concerned.

2. MEMBERSHIP & SUBSCRIPTION:
The Membership fee and the subscription shall be as under unless otherwise
revised by the Governing body of the society;
a) Membership Rs. 100/- per month, Rs. /- per annual

3. TERMINATION OF MEMBERSHIP;
The Governing Body shall have the power to expel /terminate a member or/and
members, form the membership of the above Society on the following grounds.
a) On death.
b) On written resignation
c) If found to be involved in any anti social activities.
d) If adjudged by any court of law to be a criminal offender.
e) If found guilty by means of anti propaganda of the aims and objects of the
society.
f) If fails to pay the Subscription of contribution.
g) If has not attended three consecutive meetings.
h) If disregards Rules & Regulations or disobey the decisions of the
Governing body.
i) By no confidence motion passed by 2/3rd Majority of votes.
Note: The decision of the Governing Body regarding the termination from the
membership of the society shall be communicated to the member
concerned.
Appeal : All the appeals should be referred to the general body of the Society. The
decision of the General Body shall be final. The reason for rejection shall
be communicated to the member concerned.

4. GOVERNING BODY STRENGTH:
The governing body shall consist of members and office bearers as under.
1. PRESIDENT ONE
2. VICE PRESIDENT FIVE
3 GENERAL SECRETARY ONE
4. JOINT SECRETARY TWO
5. TREASURER ONE
6. JOINT TREASURER ONE
7. EXECUTIVE MEMBERS MINIMUM 4 TO 15

5. BANK ACCOUNT:
The bank account of the society shall be operated by the jointly signature of
Treasurer and any one out of President or General Secretary.

6. GENERAL BODY:
All the members of the Society will constitute the general body.

7. FUNCTION OF THE GENERAL BODY
a) To consider any work activities brought forward for the governing body.
b) There shall be an annual meeting of the general body in the month of
March every year.
c) Not less than 15 days notice shall be given to the members before the
day of general body meeting enclosing the agenda specifying date, time
and place and the quorum shall be 2/3rd
.
8. GOVERNING BODY
a) STRENGTH: – The strength pf Governing body is not less than 8 and not
more than 25.
b) TERM: – Term of every governing Body shall be Five Years.
c) NOTICE: – Minimum 15 days notice shall be required for every governing
body meeting of the Society but urgent Governing body meetings can be
called by 24 hour notice.
d) QUORUM: – Quorum of every Governing body meeting shall be 2/3rd of the
total strength of the Governing body (including office bearers and executive
member).
e) MEETING: – Governing body meeting shall be held once in three months
regularly (or as and when the Governing body of the Society may decide
from time to time.
f) URGENT MEETING: – the urgent Governing Body may be called by the 24
hour notice but the quorum for the same urgent Governing Body meeting
shall be 2/3rd of the total strength of the Governing body of the Society.

9. ELECTION & QUORUM
The general body will elect/select its president and all the office bearers and
members after Five years by secret ballot papers and 3/5th members in every
next election will be taken from the original governing body.

10. FUNCTION OF THE GOVERNING BODY
To arrange finance if required from various sources.
a) Institutions or individuals on reasonable terms and conditions and the
governing body as a whole shall be liable for its return.
b) The Governing Body shall make plan for the future program of the Society.
c) To publish literature and to propagate the system to approach the public
pertaining to development of the society.
d) Governing body shall meet at least once in a three months.
e) To accept donation, charities, loan, grants, properties etc., from public,
other associations agencies, Govt. Deptt. In the interest of promotion of
aims and objectives of the society.
f) All the decisions shall be taken by the majority of votes
g) Governing body shall be responsible for the management and
administration of all affairs of the Society, and is also authrioused tio
appointing any office bearer/executive member to look after any particular
activity.
h) To appoint Election officer and his/her powers.

11. MANAGEMENT OF FUNDS
All the income of the Society shall be deposited in the Nationalized Bank.
11. A. MAINTENANCE OF REGISTERS
The Society shall maintain a register of its members giving the following
particulars regarding entrance or cessation of his/her membership:-
a) Name & address of the member.
b) The date of which a member ceased to be such member.
c) The date of cessation/termination of members from the Society.
d) The date of birth of the member.
e) Occupation of the member.
f) Date of governing body meeting by which the decision regarding the
membership was taken.
11. B. RIGHTS AND PRIVILEGES OF THE MEMBERS
ALL AND EVERY MEMBER OF THE SOCIETY:
a) Shall have one vote at every meeting.
b) Shall be entitled to participate in the meetings & religious Cultural
functions and other lawful gatherings called/Arranged by the society.
c) Shall be bound by the rules and regulations and/or bye-laws which may be
framed from time to time.
d) Shall make his/her activities to promote/develop the aims and objects of
the society. Every member is also supposed to administer the oath of
office and loyalties to the society and/or its constitution to the President.
e) To elect governing body of the above society.
f) To attend the general body meetings
g) To give the necessary information to the society pertaining To any matter
which is necessary to be know by the society.
11. C. FILLING OF CASUAL VACANCIES
The Casual vacancies may be filled by the resolution passed by Majority of votes
by both the governing body and general body.

12. POWER AND DUTIES OF THE OFFICE BEARERS
PRESIDENT
a) The President shall preside over all the Meetings of the Society.
b) At the time of the voting’s on any matter/subject (except Election), if the total
votes of the groups of members happen to equal in number, the President
has the power to cast an extra vote to decide the matter/subject.
c) President shall have the power to allow inclusion of any subject/matter in the
agenda for the discussion in the course of proceedings/meetings.
d) President will sign all the papers/letters, on behalf of the society, to conduct

VICE – PRESIDENT (S)
He/She shall carry such duties as may be assigned to him by the Managing
committee and in the absence of President.
GENERAL SECRETARY
a) General Secretary will summon and attend the Governing Body and General
Body.
b) That the General Secretary will prepare the membership registrar as well as
the proceedings registrar to record the minutes of the proceedings of the
Governing Body Meetings and the General Body meetings and have they
duly signed by the members who attend the meetings.
c) That the General Secretary will sign all the papers/letters, on behalf of the
society, to conduct its correspondences.
JOINT SECRETARY
The Joint Secretary shall preside over all the Meetings of the Society, in the
absence of Secretary.
TREASURER
a) He/She shall keep accounts of all the receipts and expenditures of the society
and safe custody and Security of the funds of the foundation.
b) That the treasurer shall make payments after getting the vouchers etc.passed
for payments by General Secretary.
c) That the treasurer shall not keep cash in hand more than will keep Rs.2000/-
with him and the Balance amount will have to be deposited in the bank.

JOINT TREASURER
He/She shall carry such duties as may be assigned to him by the Managing
committee and in the absence of treasurer.
EXECUTUIVE MEMBERS
That the executive member of the foundation will be called upon President.
Vice President, Gen, Secretary, render to any sort of help which the other
office bearers may require of them.

13. AUDIT

The accounts of the Society shall be audited at least once in a Year by a
Qualified audit or appointed by the Governing Body.

14. TENURE
The term of the Governing Body shall be Five years.

15. FINANCIAL YEARS
The financial year of the society shall start from the 1st day of April, to 31st day of
March every year.
